Competition privacy information

This notice covers the Harmony Homecare Suffolk Carers of the Year 2026–2027 free prize draw. It sits alongside — and does not replace — the main Harmony Homecare Suffolk privacy policy on our main website.

Purpose

We collect competition information for one purpose only: to administer the Carers of the Year 2026–2027 free prize draw fairly, and to confirm which colleagues meet the published eligibility rules.

We do not use this information for disciplinary decisions in place of our normal HR processes, and we do not use it for marketing.

What we hold

Your registration details (name, email, telephone, area or team and line manager), the date you accepted the rules, and the date your monitoring period began.

A Green, Amber or Red status against each published criterion, with a short internal evidence reference, the reviewer, the review date, any corrective deadline and reviewer notes.

Verified positive feedback categories (external or colleague) and the resulting number of draw entries.

The draw entry list, random seed, result and witness confirmation.

What we deliberately do not hold

We do not copy client names, medication details, care notes or any other unnecessary client information into the competition records. Only a secure internal reference is stored so the evidence can be located in the correct system.

We never ask for social media passwords, full-profile access, or for your profile to be public.

We do not store candidate personal data from referrals without that candidate's permission.

Who can see it

Only a small number of authorised administrators can view eligibility records, evidence references and audit history. Access is role-restricted and logged.

The public never sees eligibility status, evidence, reasons, entry totals, feedback or registration dates. The public list shows first names only, and only where consent was given.

You may ask the office at any time to see your own status, corrective deadline, feedback bonuses and appeal outcome.

Retention

Competition records are kept until 12 months after the draw on 15 July 2027, so that decisions, appeals and prize arrangements can be evidenced, and are then securely deleted.

Nomination contact details are deleted once verification is complete unless the person asked to be contacted further.

Your rights

You may request access to the competition information we hold about you, ask for inaccurate information to be corrected, object to processing, or raise a concern.

Safeguarding reports, whistleblowing, grievances, health-and-safety concerns, protected disclosures, and reports to HR, CQC or ACAS are never recorded as reputation damage or used against you in this competition.

Reasonable adjustments are available for disabled employees, and full-time, part-time, zero-hours and fixed-term colleagues are treated equally.
